JOB TITLE: Deputy Manager Warehouse
REPORTS TO (TITLE): Supply Chain Manager
Primary objective of the job:
- Assisting with the day-to-day functioning of the Department. To develop innovative ways to optimize inventory control procedures. To develop and implement essential tools to assist material forecasting in order to ensure optimum availability of stock at all times to avoid stock-outs.
- Responsible for the implementation of the new SOPs and policies.
- Works in close coordination with Supply Chain Manager to meet the departmental targets.
Number of persons managed/supervised and their positions:
- Direct reports as per the organizational structure.
Main Duties and Responsibilities:
- Ensure safety standards are followed and drugs are stored efficiently.
- Ensure that the storerooms are efficiently organised and utilized.
- Take ownership of monthly material planning.
- Lead, motivate and coach the team whenever necessary to achieve the departmental targets.
- Periodically conduct performance appraisals of team members as per organizational policy.
- Conduct stock audit of stores as per SOP on a monthly and quarterly basis.
- Monitor near expiry stock on a monthly basis and monitor the return of the same to the vendors.
- Monitor non-moving / slow-moving stock status in stores and plan for liquidation.
- Monitor store stock levels and make sure optimum stock is maintained for all vital items.
- Monitor the receipt of stock items from vendors as per POS and quality standards (including drugs).
- Actively coordinate with the purchase department and ensure timely availability of material.
- Coordinate with the purchase department for introduction of new items.
- Documentation of stock issues and return items in accordance with SOPs.
- Ensure statutory and quality compliances are followed.
- Prepare and submit Management Information Reports to hospital management.
- Coordinate with consultants/ nursing staff to ensure timely supply of medicines / consumables to the patients.
- Recruitment and training of team members.
- Maintains security of issued and stored items – taking responsibility for losses, wastage etc.
- Perform any additional tasks assigned by the management from time to time.
Academic qualifications and experience required for job:
- Bachelor’s Degree in Supply Chain Management, Business Administration, Logistics, Healthcare Management, or a related field is typically preferred.
- Certification in the following will be an asset.
- Certified in Logistics, Transportation, and Distribution (CLTD)
- Certified Supply Chain Professional (CSCP).
- Certified Healthcare Logistics Professional (CHLP)
- Minimum of 5 years of experience in Warehouse Management, Logistics, or Inventory Control, preferably in a healthcare or hospital environment.
- Experience with healthcare-specific products (e.g. medical supplies, pharmaceuticals) will be an asset.
Knowledge, Skills and Abilities
- Knowledge and understanding of ERP and HIS, good communication & interpersonal skills. Ability to work under pressure, prioritize, multi-task and lead a team.
- Ability to train and educate associates on department-specific aspects if required.
- Professional, experienced in inventory, procurement, and material management functions.
- Relevant work experience and qualification is a plus.
